Privacy Policy
Your Privacy Matters. This Privacy Policy explains how Sentinel Solutions handles personal information in compliance with the Australian Privacy Act 1988 (Cth) and other applicable privacy laws.
1. Introduction & Scope
Sentinel Solutions ("Sentinel," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our security intelligence and alternate-account detection services.
This policy applies to all individuals whose personal information we process — including administrators, website visitors, and end-users whose platform identifiers are submitted to our system by Customer communities.
2. Information We Collect
We collect minimal information necessary to provide the Services. We do not collect browsing history, personal communications, or sensitive categories of personal information.
2.1 Information You Provide
- Account Data: Email addresses and passwords (hashed using bcrypt or similar industry-standard hashing) associated with Customer administration accounts.
- Communication Data: Information you provide when contacting support or submitting inquiries, including your name, email address, and message contents.
2.2 Information Collected Automatically
- Discord Identity Data: When you authenticate via Discord OAuth, we receive your Discord ID, username, discriminator, and avatar URL. No other Discord data is requested or accessed.
- Usage Data: Anonymous, aggregated analytics regarding API endpoint requests (timestamps, route paths, response codes). This data is stripped of personal identifiers after 30 days.
2.3 Data Collected via API Submission
- Platform Identifiers: When Customers submit platform identifier data through our API (including Steam IDs, Discord IDs, FiveM licenses, Rockstar Social Club identifiers, Xbox Live identifiers, IP addresses, and hardware tokens), we process and store these identifiers to facilitate account correlation and ban-evasion detection.
- VPN / Proxy Data: IP addresses may be checked against VPN/proxy databases at the time of submission to assess connection risk. The anonymized VPN/provider label and risk assessment may be stored alongside the IP identifier.
3. How We Use Your Information
- Service Delivery & Security: To operate, maintain, and improve the Services, including account correlation, ban-evasion detection, and fraud analysis.
- Customer Support: To respond to inquiries, troubleshoot issues, and communicate important service updates.
- Security & Compliance: To detect, investigate, and prevent activities that violate our Terms of Service or applicable laws.
- Aggregated Research: To analyze de-identified, aggregated patterns for the purpose of improving detection algorithms and system performance.
4. Legal Basis for Processing (GDPR Residents)
If you are located in the EEA, Switzerland, or the United Kingdom, our legal basis for processing your personal data is:
- Legitimate Interests: For the operation, maintenance, and security of the Services.
- Contractual Necessity: For processing account and billing data necessary to perform our obligations.
- Consent: For optional communications and cookies where required by applicable law.
5. Information Sharing & Disclosure
Sentinel does not sell, lease, or rent personal information to third parties.
- Service Providers: With trusted third-party vendors contractually bound to protect your data.
- Legal Compliance: When required by applicable law or government request.
- Business Transfers: In connection with a merger or acquisition where the receiving entity agrees to be bound by this policy.
- Customer Community: Identifier correlation data is shared with the submitting Customer administrators.
6. Data Retention
- Account Data: Active account duration plus 12 months following deletion.
- Identifier Data: Until Customer account termination, then deleted within 90 days.
- Usage Logs: Anonymized after 30 days.
- Communication Records: Support correspondence retained for 24 months after resolution.
